To secure your booking you should complete and sign the Wildwatch Tours Ltd booking form and send it to the company together with a deposit of £200.00 per person or advised by the company. if you are booking within 10 weeks of departure then full payment must be sent.
If your booking is accepted by the company it becomes definite when the company issues a confirmation invoice. Should the company for any reason not accept your booking all monies paid will be returned.
Special requests should be made in writing. The company will try to arrange for special requests to be met, but cannot guarantee that they will be, nor will the company be liable should any request not be met.
The company will send all communications and other correspondence to the address of the first named person on the booking form.
The company will make every effort to assist you should you require to alter your arrangements requests for amendments must be in writing and signed by the signatory of the booking form. If your request is received more than 69 days before departure there will be an amendment fee of £50.00 per booking plus any other charges or expenses incurred by the company. These charges will be payable whether or not the company succeeds in confirming your requested amendment. If your request is received 69 days or less before departure. It will be treated as a cancellation and the normal cancellation charges set out below will apply.
If you are prevented from taking your holiday due to illness, jury service, redundancy, unavoidable work commitment, death or serious illness of a close family member, you may transfer your booking to a person acceptable to the company providing:
A) The transfer is requested and received in writing within 35 days of departure.
B) That your request is accompanied by documentary proof of the reason for transfer along with any tickets or vouchers already received from the company.
C) Full details of the person who is to replace you, any balance due for the booking, and the appropriate administration fee as set out below.
D) That your replacement agrees to be bound by these conditions. The administration fee is £50.00 per person, plus all charges of any nature levied by the suppliers of your holiday components. Please note sometimes airlines charge a 100% cancellation fee and the cost of a new ticket.
Any cancellations must be advised in writing and signed by the signatory of the booking form and sent to Wildwatch Tours Ltd. 3 Church View. Bilsthorpe Nottinghamshire. NG22 8TB. Cancellations become effective on the day they are received by the company. The following cancellation charges + insurance fees if applicable will be payable when the company receives your notice of cancellation.

The company only acts as an agent for the owners – suppliers of transport and local agents -operators, and or other travel services provided and assume no liability or responsibility for any additional expenses however caused arising or directly from the omissions or actions of such independent parties accidents, loss or damage to persons or property, delays, transport failures, wars, force majeure, strikes, acts of god etc, over which the company has no control. Clients not arranging insurance through the company are advised to insure comprehensively for the duration of the tour in respect of baggage, personal effects, illness, injury and death.
While the company will use its best endeavours to operate all tours as advertised, the company reserves the right to make changes to itineraries, in the interests of safely and for the general well being of clients. Should the company need to make major material changes to the itinerary all clients will be notified as soon as possible before the departure. If the modifications are unacceptable then a full refund will be made. The company reserves the right to cancel the tour up to ten weeks prior to departure if the minimum group size has not been reached, in the unlikely event of this happening all monies paid will be refunded.
Prices for the tours are fixed at the time of publication and are based on exchange rates and agent fees. External factors may affect the exchange rates, transportation and accommodation charges, the company reserves the right to alter the price of any of its tours and forward an amended invoice. Should any such variation result in more than a 10% increase of the total tour cost (excluding airfare) the client may cancel the booking and obtain a total refund not less than ten weeks before the departure date other than the insurance premium costs. In such a situation clients must notify us in writing within seven days of the amended invoice to qualify for reimbursement.
The air travel component of the tour is priced according to airfares applicable at the time of publication. As the cost of air travel can be subject to surcharges the company reserves the right to pass on any such surcharge at any time right up to the departure date. Any such surcharge must be paid within 7 days of being invoiced and in any event not later than the departure date.
The tour leader. Whilst every effort is made to keep the original tour leader it may be necessary to substitute for another leader. We reserve the right to do this should the advertised leader becomes unavailable.
Clients are required to have insurance cover to the minimum standard the company offers, although this does not have to be through the company. It is a condition of booking that all clients obtain full insurance cover.
It is your responsibility to obtain information concerning passport, visa and health requirements applicable to yourself. Such requirements are subject to change and you must check current requirements before departure. It is your responsibility to obtain all documents required for your holiday, to ensure that these are in proper order and to take them with you. The company will not be liable should you fail to do so, and you will be responsible for meeting any additional costs incurred by reason of such failure.
You are responsible for checking in at the correct time and for presenting yourself to take up all pre-booked components of your holiday. The company cannot accept responsibility for clients missing flights as a result of late check-ins and no credit or refund will be given if you fail to take up any component of your holiday. No refunds will be given for lost, mislaid or destroyed travel documents.
The company reserves the right to decline any booking.
This contract and any matters arising from it are governed by the laws of England and Wales and are subject to the jurisdiction of the courts of England and Wales.
